Terms, cancellations & refunds

Last updated: 12 September 2026. These terms apply to enquiries and bookings arranged by Bertins Travel & Tour. They should be read alongside the written quote and the terms of each airline, hotel, insurer, tour operator or other supplier.

1. Quotes and booking confirmation

Quotes are subject to availability and can change before confirmation. A booking is only confirmed when we send written confirmation and the required payment has been received. You must check all names, dates, destinations and travel details immediately and tell us of any error without delay.

2. Payments and supplier terms

Payment dates, deposits and balances depend on the travel product and supplier. Your quote or confirmation will state what is due and when. Some fares, rates, deposits and supplier charges may be non-refundable or may change once a booking is confirmed; this will be explained in the relevant booking terms.

3. Customer changes and cancellations

Contact us as soon as possible if you need to change or cancel. Any request takes effect only when we confirm it in writing. Charges may apply under the supplier’s terms, including airline, hotel, tour, visa-centre or insurance rules. Where a cancellation charge applies, it will reflect the relevant booking terms and any costs that cannot be recovered; it will not be excessive.

4. Refunds

Eligibility and timing for a refund depend on the product booked, the reason for cancellation and the supplier’s applicable terms. Where we receive a refund from a supplier that is due to you, we will process it in line with the applicable law and booking terms. A credit, rebooking or voucher will only be offered as an option; it does not remove any right to a cash refund that applies by law.

5. Changes or cancellation by a supplier

Travel suppliers may need to change schedules, accommodation, routes or services. We will pass on material updates as soon as reasonably possible and explain the options available under the supplier’s terms and applicable law. For qualifying package travel, statutory rights may include alternatives or a refund where the organiser cancels or makes a significant change.

6. Travel documents, visas and insurance

You are responsible for holding a valid passport, visas, health documentation and other entry requirements for every destination and transit point. We can provide practical guidance but cannot guarantee visa approval or entry. We strongly recommend appropriate travel insurance and that you read the insurer’s policy wording, exclusions and claims process.

7. Unavoidable and extraordinary circumstances

Events outside a traveller’s or organiser’s control can affect travel. Where UK package-travel law applies, travellers may have specific rights if unavoidable and extraordinary circumstances significantly affect the package or travel to the destination. We will consider each case under the applicable law and the relevant booking terms.

8. Complaints and contact

If something goes wrong, contact the relevant supplier and Bertins Travel & Tour as soon as possible so that we can assist.
